Planning a party for a smaller group is always easy than a bigger party. The concept itself changes when having a small party as the small party is mostly for friends, family or business partners.
The time taken to plan a small party may be the same, but the details are less taxing. In the big party, not all the people are known to you and it becomes difficult to plan. Whereas, in the small party all the people are known to you personally and you can plan accordingly.
The small party can be had anywhere on the terrace, in the bar, but to arrange a place for a big party bigger space and time where everyone is comfortable.
The seating also becomes difficult for the bigger event. In the smaller event you have arrange for one or two tables seating the smaller party is easier. The food and beverages is easier to plan for a small group. With the bigger event, the variety of food and beverages increases as the crowd is big, the different people have different taste and to please all, you need many different beverages and food. In the small group the beverages and food is limited and knowing their choices, you can have that many beverages and food on the table.
Even if you want to plan a small party in a short period of time it is possible, but the bigger events need more time and many things needs to be planned in advance. In the small gathering a seating people is not a big problem. However it is a big party you need to seat people accordingly. The hall needs to be big enough for a party so that the people are not falling on each other and everyone is comfortable. In the large gathering, you have to be careful as to seating of individuals who are not comfortable with each other.
However, in the small party you have no choice as to the seating as there are very few tables. The budget also plays a important part in the small party, the cost will be less as you will be ordering only limited food and drinks and if the taste is known of all the people you can avoid drinks which will be not used by people. The food also can be limited to whatever the group enjoys.
The advantage in the bigger party is that you get discounts on the bulk purchases, which is not available on the small events. However, having a smaller party is quick to organize and can save a lot of money for the event organizer and the planner.

If you are a event manager the event is always important to you whether it is a small one or a bigger one. The main thing that goes in making the great event is the budget it has to work on. You cannot cross the budget line.
The success of any event lies in the materials and the other food supplies and drinks. Find out where you can save some money. If you are doing the event for the first time there are all the chances that you do not know the material suppliers and need to negotiate with them. But if you are an old hand you will know all the suppliers which can give you a chance to bargain with the suppliers and get the best deal on the materials.
The first thing you can ask the suppliers to supply the material at the best possible rates which by itself will ensure the success of your event.
One more is to sit and talk it out with your suppliers and let them know what exactly you are looking for and what is your budget. Usually talking helps as the suppliers also is made aware of your needs and he can be able to help you out if he knows what are you looking for.
If you are aware about the prices of these materials this also helps in negotiating with the supplier as most of them would not like to loose out on their competitions and they will lower their price as per your requirements.
If the supplier is interested in making their name you can offer them some publicity and in turn they can supply the materials at lower rates.
Most of the suppliers like their names to be included with some charity or other in case your event is for a charity you can talk to the supplier and include their name in the publicity which will be a good reason for them to lower their prices.
The person dealing with the supplier should not be afraid to negotiate. So get a good representative who can deal on your behalf and get you a good discount on the materials.
Do not stick to one supplier find out if there are other similar suppliers and find out who can give you better prices on the same type of materials this will keep the suppliers on the edge and they will try to give you the latest possible rate.
If you are regular you can negotiate with the supplier and promise them new sale any time you have an event. In this case you build a relationship with the supplier and you can get lots of free stuff from them also in the name of publicity. Also you are also ready for the next event. When the supplier and you know each other well it becomes easier to negotiate with each other without any hassles and you planning a event is without worry about the budget every time. You do not have to worry about things being so very classy when you are trying to drag an event together. You want to be able to keep your budget and make things happen so that you can have the best time ever.
